All students must record hours worked in so they may be paid on time. For auditing purposes, it is important that you complete your timecard accurately and after each shift. Reminder: you cannot begin working until you receive an email from Âé¶¹Ô­´´ Human Resources indicating that you are cleared to begin working.

Timecards

Students are required to enter hours worked after every shift and approve their timecard at the end of each pay period (every other Friday by 5pm).

  • Âé¶¹Ô­´´â€™s workweek is Saturday through Friday, and the pay period is two weeks in length.
  • Actual hours worked must be recorded, not scheduled hours.
  • Advance entry of hours is prohibited.
  • Hours entered late must be corrected by the supervisor and may result in delayed pay.
  • After approval, timecards are sent to supervisors for review and approval.

Paychecks & Direct Deposit

Paychecks or direct deposits are issued every other Friday according to the bi-weekly schedule, except when issued early due to a college-observed holiday.

Paychecks: Paychecks are delivered to your home address on file. To avoid delays, we recommend enrolling in direct deposit.

Lost Paychecks: There is a five-business-day waiting period before a stop payment is placed and a replacement is issued.

Payroll Schedule

Earnings & Taxes

Student employment earnings (regardless of work-study status) are paid directly to you as a bi-weekly paycheck (either by paper check or direct deposit).


Taxes / Withholding

All student employment earnings are subject to federal and state taxes. You must complete the federal and state . Please consult a parent/guardian or tax professional to determine appropriate withholding. For international students, requirements may vary; be sure to identify yourself as a Non-Resident Alien when completing your .


W-2 Forms

Annual tax forms are issued no later than January 31 for work performed in the prior year. Employees receive both electronic and paper W-2 forms. You may opt out of paper copies by updating your preferences in .


Benefits

Student employees are eligible to receive California Sick Time. One hour of sick time is earned for every 30 hours worked. Sick time becomes available 90 days after your employment start date.

Overtime

If you are required by your supervisor to work extended hours, that may result in overtime. The following is considered overtime:

  • Time worked over 8 hours in one day, OR
  • Time worked over 40 hours in a work week, OR
  • Any hours worked on the 7th consecutive day in a work week
Double Time

Double time is paid for time worked over 12 hours in one day OR over 8 hours on the 7th consecutive day within a work week.

Meal Breaks

If you work more than five hours in one day, you are required to take a meal break of at least 30 minutes. You must clock out at the beginning of your meal break and clock in upon your return. Be sure to start your break before the 5th hour BEGINS to avoid a meal penalty. Under California law, if an employee fails to take a meal break prior to the fifth hour, a premium (penalty) is owed to the employee. The penalty is one hour of extra pay for each work day that this occurs.

Rest Breaks

You are also entitled to a 10-minute rest break for every two consecutive hours that you work. Rest breaks are paid time and should not be recorded on your timecard.
