Â鶹ԭ´´ supports the use of Generative AI tools—such as ChatGPT, Google Gemini, and Microsoft Copilot—to enhance administrative productivity. However, AI use comes with significant responsibilities to ensure data privacy, legal compliance, and institutional integrity.

Scope

This policy governs administrative use of AI by Â鶹ԭ´´ employees. It does not cover teaching or research-related AI use.

AI tools in scope include:

  • Chatbots and text generators

  • AI-powered writing/editing tools

  • Content generation and marketing AI

  • Data processing/automation AI

  • Code assistance and AI-powered research tools

Key Principles

  • AI as a Productivity Tool: AI should complement human judgment, not replace it. All AI-generated content must be reviewed and edited before use.

  • Data Privacy: Never input confidential, sensitive, or personally identifiable information (PII) into AI tools unless they are Â鶹ԭ´´-vetted and contracted.

  • Compliance: Usage must align with , , , and all relevant laws/regulations.

  • Accountability: Employees are responsible for the accuracy, tone, and compliance of any AI-assisted content.

Permitted Uses

  • Drafting non-confidential emails, memos, and announcements

  • Brainstorming ideas for projects and marketing

  • Creating templates, scripts, or formulas

  • Summarizing publicly available information

Prohibited Uses

  • Entering student, employee, donor, or institutional data

  • Using AI to make decisions about students, employees, or finances

  • Generating discriminatory, infringing, or misleading content

  • Using personal email accounts for AI tools tied to college work

AI-Assisted Content

  • Do not use AI-generated text as-is without review.

  • Clearly disclose AI’s role in significant work products.

  • Fact-check and validate all AI-generated material.

  • Follow Â鶹ԭ´´â€™s guidelines for proper attribution.
